Job Advert Role Description

Priory Hospital Enfield is a 53 bed hospital in the Borough of Enfield and is situated with very good transport links. The site provides services in both a forensic setting (male medium secure & low secure) and acute services (mixed sex). The hospital can cater for up to 53 patients at one time across the four wards, and the responsibility for staffing the hospital is of vital importance.

To provide a high level of administration to the Team within Priory Hospital Enfield.
 Process both incoming and outgoing mail, dealing with all routine correspondence in an appropriate and timely manner.
 To undertake other relevant duties as required by the Admin Supervisor, appropriate to the grade of the post.  This may include minute taking and specific projects and tasks directly related to the smooth running of the Admin Department and Wards.
 To establish suitable administrative processes to support the delivery of CPAs to service users.
 To maintain a register of all service users receiving CPA. 
 To liaise with Commissioners and other agencies as and when necessary regarding forthcoming CPAs.
 To maintain procedures that ensure that CPA documentation is organised and to arrange meetings as required and ensure the deadline is met.
 To provide Nursing/MDT with regular progress reports in relation to the implementation of CPA.
 To assist hospital staff in the use of fax, photocopier and other equipment as required.
 To attend briefings and other staff meetings as and when required.
 To attend briefings and other staff meeting as and when required.
 To be responsible for developing and maintaining effective and efficient filing systems.
 To receive telephone calls, dealing with the same in an efficient and effective manner and ensuring that systems are in place and adhered to for the recording of messages for members of the team.
 Proficient use of Microsoft Word, Excel, Outlook and Power Point.
 Good organisational abilities, with good time management skills.
 Excellent telephone manner.
 Articulate and numerate, with strong sense of self-motivation.
 Ability to work independently.
 A flexible, collaborative attitude towards duties and responsibilities.
Planning and Organisational Skills
 Organise own workload within the team.
 To undertake work that has been prioritised by the Admin Team Leader.
 To be responsible for the smooth running of the Admin Office and meeting CPA deadlines.
Physical Skills
 A requirement to  use the computer to an advanced level.
 To be familiar with different systems within Priory Hospital Enfield.
Responsibility for Patients/Clients
 To maintain a sensitive and caring approach when dealing with patients face to face.
Policy and Service Responsibilities
 To keep up to date with legislation, policies and procedures.
1 The post holder will be required to use a computer, either stand alone or as part of a networked system and will be responsible for the quality of information.  The amount of time spent on this type of work will depend on the job.
2 The post holder will be required to take part in monthly supervision with the Admin Team Leader.
3 The post holder will be required to take part in an annual performance appraisal, where this job description will be reviewed, and objectives set.
4 The post holder will adhere to Priory Hospital Enfield’s Health and Safety Policies and instructions and be responsible for your own and others health and safety in the work place.
