Job Advert Role Description


  • To work with the Healthcare Resourcing team to identify appropriate and innovative advertising mechanisms for all roles within the Hospital. 
  • Liaise with Healthcare Resourcers in recruiting of HCA’s and Nurse Recruiters for Nursing; including arranging timely interviews and offers. 
  • Accountability for ensuring team works collaboratively with Resourcing Team.  Ensures completion of the vacancy tracker within timelines. 
  • Attends recruitment calls with Healthcare Resourcing Team as and when required. 
  • To actively engage with the leadership team to ensure that staffing ladders as well as skill mix on ward are reviewed on an on-going basis to ensure recruitment activity is appropriately organised. 
  • Responsibility for identifying unique and innovative ways of attracting candidates and engaging local teams to be involved in the process. 
  • To lead and manage all open days at the hospital including advertising campaigns leading up to the event and getting in touch with candidates within 1 week. 
  • To manage all candidates through Harbour and to ensure candidates are contacted within 24 hours to maintain interest. 
  • Responsibility for setting up all interviews, liaising with managers and candidates and to provide interview questions as required. 
  • To ensure that candidates are supported and contacted during the Pre-Employment stage. 
  • To ensure that every candidate provides a copy of their passport, right to work and proof of address at interview stage and copies are made and authenticated with signature. 
  • Focus on time from application to offer and ensure that internal processes are continually (at least once a month) reviewed to. 
  • Own the unique selling point for the site and support managers to be able to sell the hospital during interviews.



  • Accountability for ensuring that processes are in place to support candidates through the on boarding process.  
  • Use Prospects to track the candidate progress and to support the Pre-Employment team with chasing for documents as required. 
  • Ensure that when a candidate is compliant that a start date is agreed within 24 hours and the PreEmployment team are updated. 
  • Arrange 3 month checking with new starters with HD / SMT and action feedback.
  •  Maintain contact with the candidate during this process weekly.  Responsibility for ensuring all candidates receive a full and proper induction into their role and that appropriate records are kept on site.  Work with Healthcare Pre-Employment team to review candidate progress.  Ensure probation review is completed in appropriate timescales and confirmed to colleague and any special allowances are paid (if applicable to site)


Payroll 

  • Responsibility for ensuring colleagues are paid accurately on a monthly basis and sign off of payroll on a weekly or monthly basis. 
  •  Responsibility for ensuring the pay report is reviewed for accuracy.  Responsibility for ensuring all bank worker and permanent colleagues’ payroll data is maintained. 
  • Responsibility for preparing the payroll data for upload on or before the cut-off date. 
  • Responsible for ensuring colleagues files are kept in a manner in line with Company policy and ensure they are secure at all times. 
  • Act as first point of contact for all payroll queries; referring only to Healthcare Payroll when the matter cannot be resolved locally. 
  • Ensure that all staff amendment forms are completed fully and are sent to Healthcare Payroll in a timely manner. 
  • Termination forms to be processed within a timely fashion and to be sent to payroll when leaver is identified.  
  • Working alongside the Central Payroll team.


Retention & Engagement 

  • Ensure that the site Your Say Forum (YSF) is carried out in the appropriate time frame and that notes and actions are passed to the Divisional HR Business Partner for discussion at the regional YSF 
  • Be the lead on site for the Colleague Engagement Survey (EES) including promotional communication ahead of the EES, during and leading with the Hospital Director the action planning design and follow up. 
  • Carry out exit interviews on every occasion and ensure information and data is collated to enable trends to be established and used for local plans; ensure action is taken when adverse issues are raised. 
  • Work with the leadership team to identify a site succession plan for key roles and identify development opportunities. 
  • Maintain any applicable bonuses or retention schemes.


Employee Relations

  • Liaise and seek advice from the Healthcare ER team on all cases and ensure that they are kept up to date. 
  • Manage all processes in a timely manner and within policy guidelines. 
  • Ensure accuracy of documentation provided to colleagues and is maintained on files. 
  • Ensure that the suspension protocol is followed on every occasion and actively engage with your leadership team to ensure suspensions are appropriately managed. 
  • Attend meetings with leaders to proactively manage poor performance or attendance following guidance from Healthcare ER team. 
  • Responsibility for ensuring that the site actively manages all cases of sickness both long and short term and offer advice and support in all cases – be the link with occupational health. 
  • Support leaders in setting up performance improvement plans where appropriate. 
  • Ensure that in all matters appropriate records are kept and maintained in line with Company policy. 
  • Responsibility for ensuring that colleague’s right to work, DBS and PINs are maintained and appropriate copies are kept on files locally. 
  • Ensure appropriate escalation of issues to appropriate HR Business Partner if there is a clear risk. 
  • Obtain and then follow support and guidance on all Change Management processes from Divisional HR team.
  •  Be an active member of the regional and divisional HR team. 
  • To support as directed on implementing all group and divisional projects into the site. 
  • Ensure that there is appropriate HR cover within the hospital for periods of absence. 
  • Seeks to continually improve processes and challenge the status quo.  Oversee/encourage EAP support where appropriate

Knowledge / Education / Skills

  • Computer literate 
  • Strong communication skills (both written and verbal) 
  • CIPD qualified or equivalent 
  • Organisation skills 
  • Influencing and relationship building 
  • Basic understanding of employment legislation.

Experience as an HR Administrator / Advisor in similar size site

Role will be required to use verbal, written and verbal forms of communication and must do so in a professional and courteous manner at all times. Will also have requirement to present to SMT on occasion as well as briefings to colleagues.

Leadership Role will have direct leadership for HR Administrators on site.
Budgets & Equipment Must ensure payroll, recruitment and initiatives are managed within budget.
Information Shared responsibility for the confidentiality, security and accuracy of colleague records, data and       information. Ensuring good quality documentation, which meets guidelines and statutory requirements.
