Job Advert Location Description

Our service is based on the Norfolk/Suffolk border and provides a range of assessment, treatment, rehabilitation and specialist residential services to over 90 adults with a learning disability in a range of different environments suited to their individual needs including medium, low secure and rehabilitation.

In addition to a learning disability, many of our patients have complex needs including forensic histories, mental illness, ASC and Personality Disorders.  Most patients are detained under the Mental Health Act 1983.

 

Job Advert Role Description

Our Medical Secretary role requires the provision of efficient, professional and effective administrative and secretarial support within the hospitals to various Multi Disciplinary team members.

 

The main duties of the role include:

 

1.         Assisting with administrative tasks providing efficient and effective administrative and secretarial support to the hospital, including document and report production, telephone enquiries, diary management, meeting and greeting visitors and other administrative tasks as appropriate.

 

2.         Handling of external and internal enquiries, recognising the level of importance of particular enquiries or issues and applying the appropriate prioritisation; passing issues and enquiries on for appropriate action to ensure the highest level of service.

 

3.         Ensuring that all information and documentation is correctly processed in line with policies and procedures in order that regulatory, statutory, compliance and financial requirements are met; maintaining the audit trail ensuring up to date and accurate information can be provided or accessed as required.

 

4.         Updating patients records, central and local database systems, ensuring accuracy of all data input.

 

5.         Ensuring the effective operation of delegated administrative processes and procedures.

 

6.         Covering for each other Medical Secretaries and Administrators during periods of absence which will involve some across site working.
