Priory Woking provides private acute mental health, addictions and eating disorder services (inpatients and day patients), and run extensive private outpatient clinics. Some private beds are used by the NHS at times when no beds are available within the NHS trust. .

Job Advert Role Description

We are seeking a part-time Medical Director's Secretary based at Priory Hospital Woking, Monday-Friday 8.30am-12.15pm or 9.30am-1.15pm

We currently have four Medical Secretaries at Woking, sharing six consultants.  You will need to be a team player who is willing to cover your colleagues, if necessary, and be flexible (if possible) to stay on some afternoons.

You will be liaising closely with staff to ensure a timely facilitation to Assessments of patients and possible admission. You will run the Consultant’s practice, answer emails, telephone calls, audio type reports and liaise with other departments. You will need to have skills in audio typing and Word as well as Microsoft Outlook.

As part of the Medical Director's secretary role, you will organise monthly consultant meetings and quarterly Medical Advisory Committee meetings in which you will take minutes and circulate. You will need to arrange refreshments on these occasions. You will need to liaise with the pool of consultants, cascading emails at request.

You will be responsible for running the clinics and ensuring that inpatients are seen twice a week in accordance with our compliance. You will ensure that discharge summaries are sent within their specified time to third parties with GDPR clearance. One morning per week will be dedicated to outpatient/follow up appointments.

Training will be given on our medical system, Care notes, and you will need to upload documents in a timely fashion. We also require you to complete mandatory training via e-learning and classroom training and you will be requested to partake in these - some for the whole day.

We would require you to work closely with the Admissions team at Priory Woking to provide a seamless enquiry and admission processes.

You will need to be confident speaking with people on the phone enquiring about treatment at the hospital, demonstrating good levels of empathy as well as focusing calls/visits to facilitate consultations.
