Job Advert Location Description

Kneesworth House is a 155 bed mental health hospital situated in Cambridgeshire (on the borders of Hertfordshire) with good commuting access to / from London. The hospital has a full pathway of care including medium, low secure, locked rehabilitation and open recovery wards  situated across the site.

Job Advert Role Description

Role:    

Manages and is responsible for the operation of support services for the unit including the Catering, Housekeeping, Maintenance, Administration and Reception functions, Transport and Health and Safety and IT. The post holder is a member of the hospital’s Senior Management Team.

 

Our Support Services Manager role involves:

  • To manage and develop Support Services, ensuring that the highest quality services are provided within budget.
  • Manages the maintenance of all the hospital’s assets, including the building, within the Capital Expenditure Budget.
  • Alongside Hospital Director and Regional Finance Manager, identifies budgetary needs (both operational and capital) and puts together proposals to be sent to MD.
  • Ensures that functional spends are correctly managed within agreed budgets, as well as identifying and flagging any potential overspends on a weekly basis.
  • Build and maintain effective relationships with external suppliers.
  • Be highly visible within site to both service users and colleagues.
  • Seeks advice and guidance from Estates professionals to ensure that all improvements to assets are carried out to Priory minimum standards, as well as meeting any regulatory requirements.
  • Project manages local capital expenditure, if required, meeting with contractors and ensuring best value.
  • Lead on site for any building improvements or projects including new builds.
  • Manage the activities of any contractors on site to ensure all jobs are completed in a timely manner and within budget.
  • Carry out regular building checks to ensure meets quality and compliance standards.
  • Responsible for all people issues within support services including leading, developing, recruiting and motivating all team members.
  • Keeps abreast of the latest developments in the hospitality, catering and maintenance industries, ensuring that best practice are adopted where appropriate.
  • Provide out of hours support for emergency situations with site attendance if necessary
  • Ensures team awareness of Priory Customer Satisfaction Surveys, implementing changes as appropriate.
  • Communicates and implements Priory policies and procedures, ensuring that all regulatory, health & safety and operational standards are adhered to.
  • Maintain health and safety documentation as delegated within their role, requesting assistance from external contractors as appropriate, together with carrying out local safety checks in line with Priory Group Health and Safety policies
  • Ensure appropriate external contractors are used to undertake repairs and not to make any repairs or alterations that would affect the safety of the workplace
  • Report regularly to site manager on health and safety and fire issues
  • Co-ordinates Health & Safety for the hospital reporting directly to the Hospital Director and feeds back to SMT, Clinical Governance and Health & Safety meetings.

 

Operational

  • Co-ordinate and manage the Catering, Housekeeping, Reception, Transport, Health and Safety and IT services on a day to day basis, delegating responsibility whenever possible and appropriate, ensuring all departments operate effectively and within budget.
  • Make recommendations for organisational development and policies to the Hospital Director and the Senior Management Team.
  • Provide the Hospital Director and the Senior Management Team with the essential, accurate and timely information about services managed that is necessary for effective decision making.
  • Participate in the Senior Management team on-call rota.
  • Accompany the local Health and Safety Representative once a month to complete a Health and Safety Checklist for their own area of responsibility.
  • Project the management of designated tasks at Kneesworth House as directed by the Hospital Director.
  • Take active responsibility for liaising and co-coordination of contractors on site, ensuring they comply with Priory’s policies and procedures.
  • To Support the Hospital Director with the management of capital expenditure, ensuring CPR’s are processed in a timely manner and within budget.

 

Management:

  • Recruit, supervise and develop an effective workforce within the budgetary constraints, interests of the patients and business strategy of Kneesworth House Hospital.
  • To manage all HR processes within designated services and be involved at Senior Management Team level to manage more complex HR related situations in line with company policy.
  • Assess staff training and development needs and recommend/implement appropriate action.
  • Ensure that staff supervision, appraisal and team briefing systems are functioning correctly at all times.
  • To liaise with the Human Resources Department on implementation of Personnel Policies.
  • Have access to a wide range of confidential information, which must not be divulged to any unauthorised person, in any circumstance.

 

Financial/Business

  • Effectively manage delegated budgets and ensure the Hospital Director is informed promptly of any reason for deviation from anticipated financial performance.
  • Support the Hospital Director in the development of potential opportunity to expand, diversify or otherwise improve the business. 
  • Prepare business plans, service agreements and budgets for Senior Management Team approval and monitor/control income and expenditure within delegated areas of responsibility.  To agree at department level modifications in budget strategy that keep financial performance within agreed parameters.

 

 Personal/Professional Responsibilities

  • To work within Priory Policies and Procedures and to positively promoteKneesworth House Hospital and Partnerships in Care at all times.
  • Ensure accurate communication with staff, patients, and residents and outside agencies.
  • Abide by the legal requirements of the Health and Safety at Work Act 1974 and to take responsibility for ensuring employees work in such a manner as to ensure the health, safety and welfare of themselves and others. 
  • To cooperate fully with the Hospital Director ofKneesworth House Hospital and the Health and Safety Officer in order to create and maintain a safe, healthy and pleasant working environment.
  • The Post holder will share ownership of Priory Kneesworth House Hospital Quality Strategy through education and effective communications and will maintain and support all quality initiatives and objectives that are set throughout the organisation

 

 

Knowledge/ Education/ Skills:

  • Relevant professional qualification, which is accredited by a recognised institute.
  • Experience in project management, ideally with a qualification
  • Health & Safety Qualification
  • Excellent communication and negotiation skills.
  • Good organisation and time management
  • Comfortable working within tight deadlines
  • Ability to handle ambiguity
  • First class customer service skills
  • Must have Estates Management experience

Experience:

  • Experience in a similar role within Healthcare or Hospitality
  • Proven experience as a leader with experience of managing diverse teams
  • Experience of effectively managing and working within budgets
  • Ideally experience of working in a matrix environment.
  • Experience of successfully leading and managing teams of staff.

 

To be successful as a Support Services Manager you’ll need

  • The post holder will, at all times, treat patients with dignity and respect.
  • The post holder will report directly to the Hospital Director in any matters concerning personnel, i.e. annual leave, sickness.

Communication:

  • Communication is a key feature of the role, as the post holder will be required to motivate several different operational services. Some coaching and interviewing will be necessary. Additionally, the post holder will liaise with other departmental managers to ensure the quality of operational services continue to meet the needs of service users, visitors and colleagues.

  • Responsibility for managing and keeping within budgets and for putting together proposals for the annual budget review.

Working Environment:
