Priory Hospital East Midlands will be opening a newly refurbished, purpose built, 10 bedded PICU ward. We will be providing specialist inpatient treatment for Female adults with a range of Mental Health conditions. The ward is due to be opened September 2018.

Job Advert Role Description

An exciting opportunity has arisen for the role of a PICU administrator that will be based on the PICU ward.

Main Duties:

  • Providing efficient and effective administrative and secretarial support to the home, including document and report production, telephone enquiries, diary management and greeting visitors and other administrative tasks as appropriate.
  • Ensures that all information and documentation is correctly processed in line with policies and procedures in order that regulatory, statutory, compliance and financial requirements are met. Maintains the audit trail ensuring up to date and accurate information can be provided or accessed as required.
  • To assist the Ward Manager, Charge Nurses and the Ward staff with general administrative duties.
  • To receive and record referral and admissions documentation and circulate to all relevant parties.
  • To create new EPR records on CAREnotes and ensure all the relevant documentation is scanned and available to view.
  • To liaise with the MHA Administrator for all MHA documentation and section paperwork.
  • Ensure all clinical documentation such as clinical notes and incident reports, are circulated as required by contract to the external team.
  • Admission/Discharge paperwork provision for the ward.
  • Ensure relevant staff are notified of patient discharges.
  • To attend and minute ward meetings as and when required and circulate as required.
  • Collation of information as required using a variety of software packages.
  • Establish and maintain a high standard of office practices and procedures including filing systems, archiving and copying.
  • Present a co-operative, professional and helpful image.
  • Prioritise work as necessary to meet given timescales.
  • Ensure that all documentation reproduced is in line with the regional standards.
  • Maintain any records as from time to time may be specified to support tasks being carried out or to allow monitoring of tasks.
  • To maintain as confidential at all times information relating to patients, staff and hospital business.
  • Attend staff meetings and internal/external training events as and when required.
  • To support the nursing team on the ward if required.
  • Maintain the patient information board, located in the staff office, with up to date patient details.
  • Maintaining the shared drive and ensure all information is saved securely and in order.
