Job Advert Location Description

Ellingham hospital is a 35 bedded hospital offering assessment, treatment and rehabilitation to young people within the age range of 12 to 25 years old.

Cherry oak ward is a low secure 10 bedded mixed unit and caters specifically to the needs of young people who are experiencing significant mental health difficulties and also demonstrate some level of functional impairment, which may be attributable to a learning disability, a neurodevelopmental diagnosis (e.g. autism, ADHD).

Woodlands is a  15 beds adolescent mixed ward catering specifically for young people who are experiencing significant mental health difficulties and also demonstrate some level of functional impairment, which may be attributable to a learning disability, a neurodevelopmental diagnosis (e.g. autism, ADHD), or another neurological issue (e.g. brain injury). 

Redwood ward is a 10 bedded ward for adult age 18 + with an acute mental health problem. The hospital is supported by a robust multi-disciplinary team of professionals including psychiatrist, psychologist speech & language therapist, Occupational therapist, nurses, social worker and a family therapist. There is also an Ofsted registered school on site supporting the young people with their education.

Job Summary

This is a key position within the hospital to ensure that invoices for the acute and CAMHS wards are processed in a timely manner and all the regulatory and contractual requirements for compliance are managed and monitored by supporting the Senior Management Team through the clinical governance process.

Main Duties & Responsibilities

  • Inform Priory bed managers daily of Ellingham Hospital bed status for each ward.
  • Inform local NSFT or other CCGs of Redwood ward bed status if there is an agreed block contract in place.
  • For patients on special duty nursing (SDN), that is chargeable, complete observation log/invoice template and this is to be checked and signed by the ward manager before submission to priory invoice processing. A copy should also be submitted to the relevant patient bed manager.
  • To keep a record of bed manager/case managers authorisation for patients place on SDN and submit information to invoice processing.
  • Patients on EPC(Exceptional Packages of Care), a weekly submission of the observation log/invoice record is to be completed and sent to invoice processing department. This should also be copied to the Finance Manager for the hospital.
  • Any changes in patients SND status, this should be communicated to bed manager, NHS E case managers for CAMHS and invoice processing department.
  • Maintain a record of all admission and discharges for acute and CAMHS.
  • Weekly reporting of CAMHS delayed discharges to NHS E.
  • Support the Hospital Director with data collection for clinical governance meetings, including keeping all CQC, QNIC, priory compliance action plan up to date.
  • To support the Hospital Director with data collection for contractual reporting for NHS England.
  • To maintain the hospital audit calendar by ensuring the timely completion of action plan with relevant staff, including completion of site specific audits and its monitoring.
  • To ensure the Quality Walk Round (QWR) log is kept up to date and send reminders to staff as per agreed schedule.
  • To keep the CQC notification log and Serious Incidents (SI) log up to date.
  • All information to be checked by the Hospital Director or DOCS before submission.
  • Ensure E-Compliance data such as incidents and complaints are available for clinical governance meeting.
  • To make available to clinical governance and local safeguarding committee meetings data on safeguarding.
