Strathmore College is a residential and day college in Stoke on Trent.  The college provides for learners aged 16-25 years who have learning difficulties, emotional, social and behavioural difficulties/disability.  The cohort of learners’ needs include mild to severe learning difficulty/disability, Downs Syndrome, Autistic Spectrum Conditions, speech and language difficulties coupled with other health related, mental or physical difficulties.  The learner’s needs are increasingly more complex, with a number of learners who were NEET and those who were finding engaging in education and learning challenging. The College uses meaningful, practical learning activities to engage and motivate learners. 

Job Advert Role Description

Required to provide efficient, professional and effective administrative and secretarial support within the college by supporting managers and their colleagues in providing the best possible environment in which the Educational and Care needs of individual learners can be met.

Assist team-leader in providing efficient and effective administrative and secretarial support to the college; including document and report production, telephone enquiries, diary management, meeting and greeting visitors and other administrative tasks as appropriate.

Handles external and internal enquiries, recognising the level of importance of particular enquiries or issues and applying the appropriate prioritisation. Passes issues and enquiries on for appropriate action to ensure the highest level of service.

Ensures that all information and documentation is correctly processed in line with policies and procedures in order that regulatory, statutory, compliance and financial requirements are met. Maintains the audit trail ensuring up to date and accurate information can be provided or accessed as required.

Assists in updating staff and learner records on central and local database systems, ensuring accuracy of all data input.

Handles enquiries associated to purchase invoices and ensures accurate creation of college purchase orders within the Pro-Actis system and associated spreadsheets. 

Responsible for balancing weekly college spends through petty cash and inputting all data into relevant systems.

Trained as a Site Learning Administrator for Foundations for Growth system, ensures all mandatory training/CPD requests are assigned and managed throughout the year in line with college needs.

Prepare for performance appraisals with the line manager; this should include assessing one’s own performance in relation to key accountabilities.

Report and record all exceptions – acts, incidents and results that do not comply fully with Plans, Policies, Procedures and Quality Standards.

Report any infringements of learner’s rights or any grievances expressed or alluded to by learners, their families or representatives, staff, neighbours or external agencies.

Ensure all safeguarding issues are reported to the Designated Safeguarding Lead or Line Manager.

Undertake “special duties” and/or responsibilities agreed with management and carry them out in accordance with relevant regulations.
